Context

Ratecard has historically organized 3 annual in-person “flagship” events. These events were 100% virtual in 2021 due to the Covid pandemic and were then held in a hybrid format with a limited number of participants once people began returning to in-person events.

In addition to these 3 in-person events, Ratecard decided to engage its audiences throughout the year with a monthly webinar series.

Ratecard has chosen to implement inwink Event at the heart of its operations, in order to provide the best tools for their team and centralize their entire event strategy.

Objectives

The in-person events organized by Ratecard are designed to generate leads for their technology partners. These partners are professionals in internet advertising, media agencies, advertising sales houses, publishers… who participate in these events to meet new prospects and engage with their existing customers.

These 2-day events include a number of round tables intended to promote exchanges between partners and participants, as well as 1-to-1 meetings for more in-depth discussions.

The monthly webinars are intended to provide partners with the opportunity to speak or present and thereby increase their notoriety amongst the participants. These webinars also provide partners with the opportunity to stay in contact with those prospects met during the in-person events throughout the year.

 

Strategy

In order to meet the defined objectives, inwink Event was implemented for in-person events, notably for the management of the event websites, but also for sending invitations regularly by e-mail and tracking registrations.

The “business meeting” functionality was also enabled so that participants could prepare their visits in advance and set-up their 1-to-1 meetings.

With inwink Event, the team was also able to manage all the post-event aspects including content publication, replay sessions, and follow-up emailing, in order to keep audiences engaged over the long term.

For the virtual aspects, inwink Event was used to manage the webinars’ diffusion, as well as emailing invitations to the Ratecard contact base.

Results

inwink has been facilitating and streamlining the management of Ratecard’s entire event strategy since March 2021, including all digital, hybrid, and in-person events.

All actions are centralized and piloted via the Event module, which allows:

  • the management of 3 annual events, each with between 100 and 150 participants,
  • the management of monthly webinars, which attract between 100 and 1,000 people, with an average of 400 participants.

Ratecard now relies on inwink Event for the day-to-day management of their events and relies on its ease-of-use for industrialising their long-term events strategy.
