Two approaches

It’s your event, or your client’s

The event has your name on it. You market it, recruit exhibitors, attract visitors, and bear the risk.

Within this scope, your role is that of an organiser: what matters is managing your entire portfolio within a single environment, without having to start from scratch for every edition.

Manage your entire portfolio

Your events, teams and operations all in one place: a comprehensive overview of your business, without having to switch between different tools.

Smoothing relations with exhibitors

Each exhibitor has their own space to share information and order services. Fewer trips back and forth for your teams, and more orders processed.

Building on the success of each edition

Duplicate an event or reuse your settings, whilst retaining the unique identity of each one. The set-up time is reduced with each new edition.

Measuring the output of each edition

Attendance, marketing, on-site activity: your consolidated data to compare your events and decide on future ones.

The event belongs to your client. You are not responsible for its marketing or the associated risk: you provide them with the tool, and, if they wish, the teams to run it.

Within this scope, your role is that of a service provider: the platform becomes a service within your offering, just like technical support or catering.

One platform, all your customers

You set up inwink once for your venue, then create a space for each hosted organiser. Each space remains separate, whilst you retain the overall view.

Operated independently or by your teams

You can either let the organiser work independently, or you can take charge of registrations, exhibitors and the event venue on their behalf. The balance is adjusted on a client-by-client basis.

In the organiser’s colours

The website, emails and exhibitor areas bear your client’s branding. Your venue provides the platform without taking the place of the event itself.

A service that you charge for

The platform is part of your commercial offering and becomes a source of recurring revenue, in addition to space rental and services.

FAQ: Event management tool for exhibition centres and event venues

Do you have to choose between inwink and venue management software?

No. Venue management software manages your spaces: availability, tenancy agreements, work orders and invoicing for tenants. inwink comes into play once the date has been set, for the event itself: the event site, exhibitor marketing, registrations and participants.

Venues that already have a venue management tool in place continue to use it.

What tool is best suited for an exhibition centre or conference centre that organises its own trade fairs?

Within this scope, what is needed is an organiser: to sell stands, attract an audience, run a programme of events, and measure attendance figures.

inwink covers this entire process within a single platform, with the option to reuse your configurations from one event to the next.

How does the platform work for hosted organisers?

As the platform owner, you set up a dedicated environment for each hosted event, under the organiser’s brand. Depending on what the organiser wishes to delegate, you manage all or part of the system: the website, registrations and the exhibitor area.

The service is then incorporated into your commercial proposal.

How are services for exhibitors (electricity, furniture, cleaning) managed and invoiced?

These services do not form a separate module: they are part of the exhibitor package. You add them to your stand offers as options that the exhibitor can order from their account, without having to re-enter any details.

Sales and invoicing are managed in the same place as stand sales.

Can we use inwink without the ticketing system or the website?

Yes, the scope is defined on a project-by-project basis. A venue that already has an institutional website and a ticketing provider may choose to activate only the exhibitor section, whereas a venue that acts as a producer manages the entire process.

What is the platform’s price for an event venue?

Pricing depends primarily on the total audience reached by the platform and the scope of the project, not on the number of events organised. Certain options, such as the mobile app or AI features, are subject to specific pricing.

The service can therefore be tailored to a wide range of volumes and formats, in both B2B and B2C contexts.
